How to Share Folders Within Your Team

When to Use This Guide
Use this guide when you want to share folders within your team on Canva. This is useful if you are collaborating on designs and need to give access to specific folders to your team members.

Overview
Folders in Canva can only be shared with users who are part of the same team. Additionally, folders can be shared with a group or multiple groups. If you're unable to share a folder with someone, it's likely because they aren’t part of your team. In that case, you can share individual designs from the folder with them one at a time.

How to Share a Folder

Desktop Instructions:

1. Go to 'Projects' from the homepage side panel.
2. Click the 'Folders' tab.
3. Hover over the folder you wish to share and click the ellipsis (…) icon, then select 'Share'. Alternatively, if you're inside the folder, you can click 'Share' from the top-right of the page.
4. By default, the access is set to private. Click the dropdown to change it to 'Team' or enter an email address or group name.
5. Decide if you wish to grant 'Can edit' or 'Can view' permissions.
6. If you wish to notify your team members, tick the checkbox for 'Notify team members'.
7. Click 'Share folder' to finalize.

Mobile Instructions:

1. Tap 'Projects' at the bottom of the home screen.
2. Select the 'Folders' tab.
3. For the folder you want to share, tap the ellipsis (…) icon and choose 'Share'.
4. The folder is set to private by default. Update the access to 'Team' or input an email address or group name.
5. Select either 'Can edit' or 'Can view' for permissions.
6. Check 'Notify team members' if you wish to send notifications.
7. Tap 'Share folder' to complete the process.

Sharing Via Link
You may also share the folder by selecting 'Copy link'. Make sure the folder is shared with your team members first, or they will not be able to access it.

Changes to Permissions
We are removing the 'Edit and Share' permission. Users with 'edit' access can share and pin folders. This change started for a small number of users on October 1.
